QUALIFICATIONS:

Bachelor’s degree in healthcare administration, public health or another related field required. One year of experience in community based primary care required. EMR experience required. Typing skills of at least 35 WPM preferred. Must be proficient in Microsoft Word, Excel and Adobe. Current BLS required and/or willingness to obtain within (6) months of hire required.

RESPONSIBILITIES:

  • Assist with planning and implementing new clinical projects, technologies, and initiatives in the clinic.
  • Serve as the clinic's “super user” for key clinical systems, offering advanced troubleshooting support and guidance to staff.
  • Work with the Clinical Operations Director to identify clinic needs, prioritize projects, and allocate resources effectively.
  • Provide training and onboarding for staff on new systems and tools, ensuring proper use and adherence to clinic protocols.
  • Act as the point person for resolving any technical or workflow-related issues that arise from system usage, offering expert-level support to enhance overall clinic efficiency.
  • Offer clinical administrative support, including documentation and communication with healthcare teams.
  • Manage the daily and long-term provider schedule, ensuring accuracy in the Practice Management (PM) system.
  • Regularly update the PM system to reflect provider availability, clinic hours, and any schedule changes.
  • Coordinate coverage for walk-in patients, ensuring adequate staffing at all times.
  • Organize and schedule provider meetings during clinical hours, minimizing disruption to patient care.
  • Prevent scheduling conflicts through careful coordination and communication with providers and staff.
  • Ensure complete, accurate, and timely documentation within the electronic health record including the right patient, right encounter date/time and appropriate provider.
  • Design and build electronic forms to facilitate data collection and improve workflow
  • Able to input information into the EHR quickly and efficiently.
  • Oversee the creation, organization, and maintenance of all clinic-related documents, including new patient paperwork, consents, policies, protocols, and procedural guidelines.
  • Maintain an organized document repository on the S drive, ensuring all documents are up-to-date and easily accessible to clinical staff. Regularly review and update files to ensure they reflect the latest protocols and information.
  • Oversee all clinic-related communications regarding provider availability, such as provider leave, vacations, or emergencies
  • Manage and coordinate mass communications to patients through various channels (email, text, patient portals) regarding important updates, provider absences, or clinic closures.
  • Collaborates with teams to pinpoint care gaps and opportunities for improvement. Generates reports to analyze these gaps, identifying key patient demographics or conditions to focus on for targeted outreach and health campaigns.
  • Work closely with internal teams to ensure consistent messaging and alignment with clinic protocols.
  • Maintain clear records of communication strategies and their impact, improving future outreach efforts.
  • Generate and analyze patient reports to inform clinical decisions and improve services.
  • Develop and execute outreach campaigns aimed at increasing patient engagement and awareness of services.
  • Collaborate with multidisciplinary teams to ensure alignment and effectiveness of initiatives
  • Ensure optimal configuration of system preferences in the Electronic Health Record (EHR) system and other frequently used clinic software.
  • Conduct regular reviews of system settings and adjust them to meet the evolving needs of the clinic.
