QUALIFICATIONS:

AA/AS degree in Business, Finance, Physical Recreation, Public Health Care, Exercise Science or another related field preferred. Must have excellent interpersonal skills in a mixed culture context. Must be organized, professional and able to establish and maintain supportive working relationships with staff, the public, service groups and facility users. Demonstrated success in providing exceptional customer service required. Must enjoy working with and around kids.  Proper and professional telephone etiquette is required. Extensive experience in customer service, project collaboration and proven ability to support tasks and project advancement. Must be able to operate a personal computer and learn operation of software applications, including ability to type efficiently, knowledge and utilization of Microsoft Word and Excel. Must have experience in conflict resolution respond to membership/fee/program related inquiries in a timely and professional manner

RESPONSIBILITIES:

  • Performs administrative non-manual office work supporting the overall operation of areas within the Wellness Services departments. This may include but is not limited to the creation of contracts, organizing training and travel, submitting marketing materials, and grant reporting.
  • Support wellness services programs activities by familiarizing self with daily activities and special events.
  • Quarterly creation of the Wellness Services Team Meeting Power Point at the direction of the Wellness Services Director.
  • Keep Director informed, especially in regard to matters of significance that may arise, ensuring safety and excellent member experience.
  • Schedule meetings as needed with collaborative partners, provide administrative support with agendas, meeting minutes, and with timely follow up on tasks.
  • Work with team Managers to gather all necessary data and information for the Quarterly Report and Newsletter in collaboration with Marimn Health Marketing team for formatting and publication approval.
  • Demonstrate a comprehensive knowledge of, and comply with the company’s policies and procedures, including the rules and procedures contained in the Marimn Health Boys & Girls Club/Wellness Services Membership Handbook and consistently and appropriately enforce them.
  • Maintain wellness services staffing list, onboarding timeline, 90-day reviews date reminders, 90-day attire orders, and staff training certification dates.
  • Facilitate onboarding experience for all new wellness services team members.
  • Organize and facilitate orders for Wellness Services team, including obtaining invoices, ensuring payment occurs and adding vendors as needed
  • Work closely with the Wellness Service Managers and Director to assist with excellent service delivery.
  • Make recommendations and secures purchase orders for equipment, supplies and maintenance needs of the program.
  • Attend required staff meetings, takes clear and accurate minutes, serves on assigned committees and prepares reports as requested.
  • Participates in policies and procedures meetings, assisting with making edits/updates as directed ensuring electronic updates are complete and uploaded on organization digital platform.
  • Respond in a timely manner to assignments and communicates with Director when timelines cannot be met.
  • Utilize internal software to coordinate facility reservations for a variety of users including internal programs, external partners, patrons, and other organizations.
  • Work in collaboration with Management team for all grant deadline tracking and data collection.
  • Assist with the development of educational materials to help connect families and community members with other services offered by Marimn Health and the Coeur d’Alene Tribe
  • Consistently demonstrate positive, effective communication skills and interactions with members, volunteers, youth, teens, elderly, fellow Marimn Health employees and external community partners.
  • Consistently promote a positive, professional image of Marimn Health at all times, and provide consistent high-quality customer service to all Members and the community.
  • Responds promptly to Member requests or concerns.
  • Has a positive, engaging and appropriate relationship with youth, teens, parents and staff.
  • Conducts tours of the facilities, using excellent verbal communication skills to relay the mission, vision, values, and scope of operations of Marimn Health Wellness Services
  • Participates in ongoing education toward applicable and additional certifications.
  • Maintains current certifications, updating when necessary and before expiration date(s).
  • Attends all meetings and trainings as assigned.
  • Other duties as assigned.
